Panopto Retention Policy
The University of Alabama’s lecture capture/media management tool is currently Panopto. Storage resources dedicated to The University of Alabama’s Panopto recordings are finite, and their allocation must be managed accordingly. To ensure that The University of Alabama’s Panopto storage quota is not exceeded while providing maximum access to relevant Panopto content, the Technology and Learning Committee, the University of Alabama academic technology governance committee, along with the Center for Instructional Technology, serving as steward for the Panopto system, have created the following Retention Policy.
Recordings will be archived 2 years after their last viewed date. Recordings will be permanently deleted 2 years after they are archived. For example, Panopto content last viewed in November of 2022 will be subject to archive November of 2024 and, if not viewed, permanently deleted November of 2026.
UA Online courses, coded as OL or OLM, are currently exempt from this policy. These courses use Panopto recordings and their links in a way that requires retention for extended periods. (See separate retention policy)
These exemptions will be periodically reviewed and updated to maintain relevance. Further exemptions may be granted upon request and review by the Center for Instructional Technology.
Please note: Blackboard Learn and Panopto are two separate systems. Creating a backup of a Blackboard Learn course will not ensure retention of that course’s Panopto content.
Requests to change this policy may be made in writing to the Center for Instructional Technology (cit@ua.edu). The Center for Instructional Technology will present requests for policy changes to the Technology and Learning Committee for review.
