Panopto Retention Policy - OTIDE Content

The following information is related to content managed by the Office of Teaching Innovation and Digital Education (OTIDE):

• Recordings will be automatically archived 10 years after their creation date.

• Recordings will be permanently deleted 1 year after they are archived.

For example, OTIDE content within Panopto created in 2015 will be archived in 2025 - if the media continues through the second MOU cycle. In this example, the OTIDE content will be permanently deleted in 2026.

Related OTIDE Policy

Retention of all media (raw and edited) will commence upon the initial launch date of the course, which coincides with the beginning of the five-year MOU. All raw footage will be deleted after two years from the course launch. After the initial five-year cycle of the course MOU has expired, all edited media will be deleted unless it is determined that some or all of the edited media will be used as part of a second five-year cycle of the MOU.  If the course media is not used for the future cycle, it will be deleted after the initial five-year MOU expiration.  Following the completion of the second cycle of the MOU (ten years), all edited media will be deleted with respect to quality and longevity.

Scope

This policy applies to media produced by the Office of Teaching Innovation and Digital Education. Materials such as instructor-designed content or media, including; but not limited to, PowerPoint or LMS-hosted videos that were not created, edited, or produced by the OTIDE Creative Academic Media Services team will fall under the purview of the University of Alabama’s LMS retention policy.
