What does a student receive when an appointment is booked?
Provided the student has not opted out from receiving emails and texts, when an appointment is booked either by the student using eSARS, your location’s online portal, or by a support staff member or the advisor using SARS Anywhere, an appointment confirmation is emailed to the student. The method used to book the appointment and the format of the appointment – face-to-face or Zoom – determines the method of delivery and the contents of the email.
Face-to-face appointment confirmations
Appointment booked by student using eSARS
When an appointment is booked by the student using eSARS, they will receive a confirmation email sent by the eSARS application.
Typically, the face-to-face appointment confirmation for appointment booked via eSARS includes:
Date,
Time,
Name of the person meeting with the student, and
Location (either the building and office number of the person meeting with the student or the building and room number where the student should check in)
Additionally, it can include any pre-appointment tasks the student needs to complete, such as links to DegreeWorks, Qualtrics, etc.
Your location determines the contents of this email, and a member of the EDAS SARS Support Team or your SARS Admin configures it in eSARS_Config.
Appointment booked by support staff or advisor using SARS Anywhere
When an appointment is booked by a support staff member or advisor using SARS Anywhere, the student will receive a confirmation email sent by the SARS Admin application.
Typically, the face-to-face appointment confirmation for appointment booked via SARS Anywhere includes:
Date,
Time,
Name of the person meeting with the student, and
Location (either the building and office number of the person meeting with the student or the building and room number where the student should check in)
Additionally, it can include any pre-appointment tasks the student needs to complete, such as links to DegreeWorks, Qualtrics, etc.
Your location determines the contents of this email, and a member of the EDAS SARS Support Team configures it in SARS Admin.
NOTE: Even though the confirmation emails are sent using different methods in SARS, the contents can be the same.
Zoom appointment confirmations
No matter how a Zoom appointment is booked – eSARS or SARS Anywhere – the student will receive a confirmation email sent by the SARS-Zoom interface.
Typically, the Zoom appointment confirmation begins with PLEASE DO NOT DELETE THIS EMAIL! IT CONTAINS THE ZOOM LINK followed by:
Date,
Time, and
Name of the person meeting with the student
Link to the Zoom meeting which includes the password
Additionally, it can include any pre-appointment tasks the student needs to complete, such as links to DegreeWorks, Qualtrics, etc.
Your location determines the contents of this email. It is configured by a member of the EDAS SARS Support Team.
NOTES:
Currently, the Zoom appointment confirmation email is the only method available for sending the Zoom link to the student.
The Zoom link sent in the email is generated by the SARS-Zoom interface and embeds the password, so a student won’t need a password.
The SARS user who will meet with the student can be BCC’d on the Zoom confirmation email. Currently, this feature is not available for only Zoom appointments.
